VAZ ("we", "our", "us") is committed to protecting your privacy and personal information in compliance with the Australian Privacy Principles (APPs) outlined in the Privacy Act 1988 (Cth). This Privacy Policy explains how we collect, use, disclose, and store your personal information when you visit our website or contact us for more information.

When you voluntarily use our enquiry form, we collect your name, work email, organisation (if supplied), area of interest, description of your decision or challenge, preferred meeting date and time, and timezone.

We also collect information automatically through cookies or similar technologies used on our hosted website platforms (provided by OpenAI / ChatGPT Sites and HubSpot), including usage data such as your IP address, browser type, and pages visited. Use of Personal Information

Your personal information is used to:

  • Respond to your inquiries and provide requested information about our services.
  • Arrange and confirm a requested introductory conversation.
  • Analyse website usage and manage and improve our website and marketing communications.
  • Comply with our legal obligations.

Disclosure of Personal Information

Your personal information may be stored and processed using cloud services hosted offshore by third-party providers including OpenAI, Cloudflare, Google, Microsoft, Looka and HubSpot. These service providers are located in the US, Canada, and other countries and have their own privacy and security measures aligned with industry standards.

We do not sell or rent your personal information. We may disclose your information to trusted service providers who assist in delivering our services, such as website hosting and email marketing, all under strict confidentiality agreements. Personal data may also be disclosed if required or permitted by law.

Cross-border Data Transfers and Security

As some of our service providers operate offshore, your personal information may be transferred and stored outside Australia. We take reasonable steps to ensure your data is protected and that overseas recipients comply with the Australian Privacy Principles. This includes:

  • Using contractual safeguards that bind the recipients to protect your privacy.
  • Implementing technical security measures like encryption and access controls.
  • Conducting due diligence on our service providers to ensure their security and privacy measures are robust.

We take reasonable precautions including contractual safeguards, encryption, and compliance checks to ensure your data is protected at all times and in accordance with Australian Privacy Principles (APPs).

Your Rights: Access, Correction, and Complaints

You have the right to request access to, or correction of your personal information held by us. Please contact us at Privacy@VAZ.au to make such a request by filling out the form.

If you have concerns regarding our handling of your information, please contact us first so we can address your concerns promptly. You also have the right to lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.

Data Retention and Security

HubSpot retains the enquiry details needed so we can respond and follow up. The website database keeps only a delivery reference and status, normally for up to 180 days; it does not duplicate your name, email, organisation, message or requested time. If an enquiry becomes a client or other business relationship, relevant records may be retained for longer where required for that relationship or by law. Otherwise, we retain personal information only as long as necessary to fulfil the purposes outlined in this Privacy Policy or as required by law. When no longer needed, we will securely delete or anonymize your information. We use a range of physical, administrative, and technical security measures to protect your personal information from misuse, loss and unauthorised access.

We may update this Privacy Policy from time to time to reflect changes in legal requirements, technologies, or our business practices. Updated versions will be posted on our website with a revised effective date.

Cookies Policy

What are cookies?

Cookies are small files or identifiers stored or read by a website or service on your browser or device. Similar technologies include local storage, tags and pixels. Depending on their purpose and the information associated with them, these technologies may involve personal information under Australian privacy law.

Providers

  • OpenAI / ChatGPT Sites: website delivery, platform security and access functionality. OpenAI Privacy Policy
  • HubSpot: consent-gated website measurement and customer relationship management. The VAZ preference centre itself is first-party. HubSpot Privacy Policy

Following a link to LinkedIn, WhatsApp or another external service takes you to that provider, where its own privacy and cookie terms apply.

5.

Overseas processing

Technology providers and their subprocessors may process information outside Australia, including in the United States, Singapore or other countries in which they operate. Accepting non-essential cookies is not treated as blanket consent to unrelated uses of personal information or as consent that removes VAZ's accountability under APP 8.

Duration and retention

Some cookies last only for a browser session and others remain until their stated expiry or deletion. Provider-controlled durations may change. Anonymous Core Web Vitals records are retained for up to 90 days. Business records associated with an identified enquiry or client relationship are managed under the retention provisions of our Privacy Policy.
